WHAT YOU CHOSE, AND WHY

Every vendor you picked was a bet, and you have renewed or regretted each one

THE PROCUREMENT QUESTIONS

What firms ask about vendor records

Our contracts have confidentiality terms.

Those narrow scope rather than ending it. The firm's own evaluation and internal reasoning is frequently unencumbered by a vendor NDA.

Are supplier names a problem?

Identifying fields are stripped as part of preparing the data, before anything is shared onward.

We are a small buyer. Does that matter?

No. What carries value is the reasoning in the comparison, not the size of the contract.

What is this worth on its own?

Rarely a deal by itself, but it adds breadth, which is one of the four factors in a review.

WHERE IT LIVES

Four parts of a procurement trail

This accumulates in mail and shared drives without anyone treating it as a record.

Requirements

What the firm decided it needed, which is a statement about its own operating problems.

Evaluations

Options compared side by side, with the trade-offs made explicit enough to choose between.

Negotiation

Threads over price, terms and scope, showing what the firm would and would not concede.

Renewal and exit

Whether it worked, argued out at renewal, sometimes with a painful migration attached.

WHY PROCUREMENT RATES WELL

Selection forces an explicit comparison

  1. Alternatives are named. A selection document lists what else was considered, which most decisions never do.
  2. Criteria are stated. The firm has to say what it is optimising for before it can choose.
  3. Negotiation is recorded. The back-and-forth over terms shows what mattered enough to fight about.
  4. Renewal closes the loop. Keeping or dropping a vendor is a judgement on the original decision, usually with reasons.
